Operation/Secretary

Grindrod is recruiting a Operation/Secretary, to be based in Beira.

Duties

• Opening ship disbursement files for all new vessels
• Assisting Marine Representatives with urgent requirements when on vessels/wharf side
• Preparing agency debit notes (tax invoices) and update Ships Agency Port Log
• Preparing ships mail and other parcels/documents for forwarding via courier
• Liaising with travel department / airways for booking of air tickets and travel arrangements
• Confirming PTA details / payments for all PTA\'s sent by owners with relevant airlines
• Liaising with service provider for assistance of all crew arriving / departing, with immigration formalities and boarding requirements
• Booking hotel accommodation and arranging with immigration for visa extension, temporary resident permits for crew / owners representatives and superintendents
• Arranging transport and informing service provider of all flight details for arriving/departing crew
• Liaising with all relevant authorities to ensure correct documents are in place for any eventuality
• Numbering, forwarding of Bills of Ladings to principals for approval and co-ordinating the release
• Drawing up manifests for customs and TNPA within deadlines
• Invoicing on AFA
• Compiling of vessel disbursements and ensuring they are dispatched on time
• Month end reports and branch reports
• ISO procedures control

Requisites

• Relevant industry-related training and / or a relevant course in the maritime field
• Minimum of 2 years practical experience in a similar role
• Basic Accounting experience
• Industry experience an advantage
• Strong organisation skills
• Able to meet deadlines
• Strictly confidential nature
• Strong communication skills and written ability
• Effective time management skills
• Good interpersonal and co-ordination skills
• Computer literacy – MS Word, MS Excel, Microsoft Outlook (Intermediate level), SPAN
• Able to work independently
