SOS is recruiting a Receptionist / Administrative Secretariat, to be based in Tete.
Duties
- Provide office support services in order to ensure efficiency and effectiveness within the hamlet office
- Receive, direct and relay telephone messages and fax messages
- Pick up and deliver the mail
- Open and date stamp all general correspondence
- Maintain the general filing system and file all correspondence
- Assist in the planning and preparation of meetings, conferences and conference telephone calls
- Maintain an adequate inventory of office supplies
- Respond to public inquires
- Provide word-processing and secretarial support
- Organize the staff trips
- Develop and maintain a current and accurate fillings system
- Monitor the use of supplies and equipment
- Coordinate the repair and maintains of office equipment
- Answer all incoming calls and handle caller´s inquires whenever possible
- Re-direct calls as appropriate and take adequate messages when required
- Book appointments for medicals where required
- Update electronic patient visit document
- Open files for new patients
- Update existing files
- Compiling of statistics as required
Requisites
- Minimum 2 years of experience in secretarial and reception
- Proficiency in Microsoft Office (Ecxel, Word and PowerPoint), Outlook
- Resident in Tete
- Minimum Grade 12
- Verbal and written fluency in English and Portuguese
