Administrative Assistant

International School of Pemba

The International School of Pemba is recruiting a Administrative Assistant to be based in Pemba.

Duties
Administrative support
  • Responsible for upkeep of school diary
  • Support and work closely with the school Administrator and Principal
  • Provide admin support for teachers
  • Prepare documentation for the Administrator, ISP Association, ISP Board and Principal as required
  • Compile and distribute correspondence to ISP parents and Members
Record keeping
  • Register new learners
  • Create, maintain and update confidential records of staff
  • Create, maintain and update confidential records of students
  • Contact parents in cases of student absence
  • Maintain parent contact lists and school email accounts
  • Attend meetings and keep notes to produce minutes, as appropriate
Curriculum support
  • Collate and produce curriculum documents in collaboration with the Principal
  • Manage and control the procurement process
  • Working with other agencies
  • Visiting other agencies’ offices in Pemba with school documents and on school-related business
Requisites
  • Fluent English and Portuguese speaker – ability to communicate clearly and sympathetically with clients
  • Ability to write clearly in both languages – familiar with Word and Gmail
  • Numeracy skills – familiar with Excel
  • We need a person who is Organized, Flexible, Innovative, Cooperative and collaborative
  • This job will require the person to travel within Pemba to visit various offices, shops, etc
Notes
  • This is a full-time job from 07:00 – 15:00 Monday to Friday during term time and at other times by arrangement
