Creative is recruiting an Administrative Assistant (m/f), to be based in Nampula, Mozambique.
Description
  • Project Summary: Creative Associates is the lead organization on a five-year, USAID-funded early grade reading project with the aim to improve early grade reading outcomes in the target provinces of Nampula and Zambezia. The project will focus on three main areas of intervention to achieve its goal to improve students’ reading fluency and comprehension in the mother tongue by the end of their second year of school: 1) improve the quality of reading instruction at the early primary level, 2) improve policy frameworks and delivery systems for early grade reading, and 3) increase parental and community engagement in early grade reading. The project will have a main office in Maputo with field offices in Nampula and Zambezia
  • Position Summary: The Administrative Assistant and Human Resource will perform a broad range of clerical, secretarial, reception and HR duties. S/he will provide timely staff services and efficient office operations in the areas of communication, mailing, inventory management, supplies and equipment maintenance and more
  • Reporting & Supervision: The Administrative Assistant and Human Resource will report to Operations and Human Resources Coordinator
  • Position Start Date: Immediately
Duties
Administration
  • Handle and oversee the administration of the entire office, maintaining coordination with all administrative and technical personnel
  • Ensure compliance of infrastructure management, communication (telephone calls, faxes, mails, water, power, etc.), and other office operations
  • Ensure administrative support in accommodation at provincial and district level; provide travel assistance, maintenance of physical, electronic and other administrative matters for permanent workers and consultants
  • Coordinate the good management in the office reception, receiving and directing the guests in the institution
  • Coordinate the procedures for the circulation of incoming and outgoing documents; receive meeting invitations, and provide administrative support for the different duties of the meeting
  • Monitor the use of all materials of the office
Human Resources
  • Assist the Senior HR Coordinator to ensure greater assistance with the program's Human Resources needs
  • Assist the efficient and effective execution of the Human Resources processes of the personnel in accordance with the internal CAI procedures
  • Assist staff so that the right policies, routines, procedures and rules are being followed as set out in the terms and conditions of employment and under Mozambican law, in coordination with the Maputo office
  • Assist in recruitment processes and employee performance
  • Manage the staff health fund in coordination with the Senior HR coordinator, and send updated balance checks weekly
  • Ensure that all employees have adequate compensation insurance coverage
  • Support in promoting the development of WEI's organizational culture
  • Support supervisors to timely submit performance reviews for both the probationary and annual periods
  • Prepare and submit Human Resources reports
  • Ensure that all personnel files are always up to date
  • Perform other duties as assigned
Requisites
  • High school diploma required with demonstrated experience working in an office environment
  • Demonstrated reliability regarding attendance and work performance
  • Good communication and interpersonal skills to deal with a diverse clientele and staff
  • Courteous and professional demeanor with experience providing customer service
  • Experience in organizing and filing information
  • Attention to detail and ability to follow up on tasks to completion
  • Medium level knowledge of Word, Excel and Outlook
  • Proficiency in English and Portuguese language skills highly desired, local languages as well
  • Flexibility and ability to work in busy environment
