The British High Commission is recruiting a Estates Officer AO, to be based in Maputo, Mozambique.

Main purpose of job
  • To work closely with the Estates Manager in ensuring that the offices and residential properties of the British High Commission in Maputo are actively maintained by organising preventative maintenance to these properties whilst also reacting timely to requests from occupants and colleagues whilst ensuring that Health and Safety standards are adhered to by both High Commission staff members and contractors. Furthermore, to take ownership of maintaining inventories of all properties and updating property records on FCDO proprietary databases
Duties
  • Actively react to maintenance requests and plan preventative works to the British High Commission offices and residential properties through the use of the internal service desk system to ensure SLAs are met
  • Plan and implement routine maintenance works to the British High Commission buildings and residential properties whilst actively liaising with colleagues in the office and occupants
  • Supervise contractors on site and ensure that they adhere to FCDO Health and Safety requirements
  • Maintain furniture inventories and asset registers for all properties
  • Actively seek feedback from colleagues and occupants, identify trends and seek to improve service delivery
  • Responsible for the procurement of goods and services whilst following the FCDO
  • Purchase to Pay policy and ensuring value for money
  • Provide support across the 1HMG by acting as backup HERA requisitioner
  • Provide support in updating Planon/Pyramid - Property Management System
  • Actively manage the residential floats in coordination with CLO to ensuring that items are checked out and in and arranging replacement items when necessary
  • Provide support across the 1HMG Delivery Excellence and Corporate Services team as and when required i.e. cover for leave, special events etc and undertake other duties as assigned and agreed by the Estates Manager
  • Assist the wider Delivery Excellence and Corporate Services team with following up on recent audit recommendations
  • Provide compliance support across the core streams in Delivery Excellence and Corporate Services
Requisites
  • 2-year experience managing property maintenance
  • Basic knowledge in project management
  • Strong interpersonal and customer service skills
  • Ability to work under pressure and deal with competing priorities
  • Inventory management experience
  • Health and safety knowledge
  • Good IT skills including Windows 10 and MS Office 365
  • Driving license with a clean record
  • Desirable:
  • Experience of responding to service requests and office administration
  • Experience of working in a multicultural environment

Notes

  • Working patterns: 5 days a week Monday to Thursday 08:00 to 16:00 and Friday 08:00 to 13:00
  • Regular attendance at the office and visits to residential properties are required as part of this role so working away from the site is not possible
