Finance Officer

3R

3R is recruiting a Finance Officer, to be based in Maputo.

Duties
Financial management
  • Advise company directors on financial management approaches, policies, procedures, practices and documentation
  • Advise company directors on and implement a strategy for efficient tax compliance across different companies and jurisdictions
  • Implement a financial management and reporting system using recognized software such as Quickbooks supplemented with other spreadsheets as required
  • Prepare monthly financial management reports for director review and approval including: balance statement, profit and loss, cash flow statement, quarterly budget, cash flow forecast and quarterly analysis of financial indicators and expenses
  • Design, implement and ensure company, staff and consultant adherence to company financial management procedures and workflows (for petty cash, invoicing, procurement, foreign travel, directors accounts, financial software data input, office equipment, etc) with clear identification of responsibilities, control mechanisms and timelines
  • Ensure that adequate company cash flow and reserve buffer is available through budgeting, forecasting and money management
  • Identify and implement improvements to cash flow management, including analysis of expenditure and ways to cut costs
Accounting/bookkeeping
  • Ensure the timely reconciliation of company bank accounts against expenditure and cash at hand
  • Manage incoming and outgoing invoices, trade payables/receivables and receipts, ensure that payments are made and provide credit controlPerform the orderly filing of accounting, payroll and tax-related paperwork and ensure compliance to statutory requirements on a monthly or annual basis as required
  • Liaise with company staff and consultants to ensure their pay, leave, medical, expense claim and other requests and records are addressed and maintained
  • Perform banking functions such as foreign exchange rate negotiations, deposits, withdrawals, telegraphic transfers, establishment of standing orders and guarantees, etc
  • Ensure proper management and filing of hard and electronic copies of invoices, receipts, bank statements, monthly account reports and other relevant documentation
  • Ensure that petty cash is available in sufficient amounts at all times
  • Liaise and work with external auditors and accountants as needed
  • Be responsible for accounting data entry
Office Administration
  • Oversee the company’s document and record management system (hard and electronic copies) including filing, scanning, data input, updating and sharing
  • Liaise with regulatory authorities, financial institutions, partners, clients, projects, and other organizations for the administration of company business
  • Ensure all company licenses, permits, insurance and other are in compliance
  • Help to organize and/or participate in internal or external meetings, workshops, and other events and take minutes from such
  • Oversee procurement of company and office material and supplies to ensure that sufficient supplies are available at all times (e.g. of business cards
  • Prepare company finance-related correspondence for senior management review and signature and assist with email, phone and post communication
  • Participate in the induction of new company personnel with respect to financial procedures and requirements
