Creative is recruiting a Logistic Coordinator (m/f), to be based in Maputo, Mozambique.
Description
  • Creative Associates is the lead organization on a five-year, USAID-funded early grade reading project with the aim to improve early grade reading outcomes in the target provinces of Nampula and Zambézia. The project will focus on three main areas of intervention to achieve its goal to improve students’ reading fluency and comprehension in the mother tongue by the end of their second year of school: 1) improve the quality of reading instruction at the early primary level, 2) improve policy frameworks and delivery systems for early grade reading, and 3) increase parental and community engagement in early grade reading. The project will have a main office in Maputo with field offices in Nampula and Zambézia
Duties
  • The Logistics Coordinator will be responsible for assisting with management of project logistics procedures, and day-to-day management
Reporting & Supervision
  • The Logistics Coordinator will report to the Operations Director and will be based in Maputo
Primary Responsibilities
  • Provides oversight of Vehicle logs, vehicle maintenance
  • Identify Vehicle needs and reviews driver time sheet
  • Customs Clearance for project properties
  • Coordinates transportation and delivery of Procurement and inventory
  • Conducting and updating inventory database of the office on a monthly basis
  • Supports company operations by maintaining office systems and supervising staff
  • Maintains office services by monitoring the days to day office operations and procedures. This position is the main point of contact for maintenance, mailing, shipping, supplies, equipment, bills and errands
  • Overviews requisitions, assigns and monitors clerical functions (in coordination with the Operation Director)
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Improves and monitors office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments
  • Assist the Operations Director with the preparation of a monthly and annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions (as required)
  • Coordinating and schedule meetings and appointments (as required)
  • Partner with HR to maintain office policies as necessary
  • Coordinate with IT department on all office equipment
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time in coordination with the procurement team
  • During the programs high demand season this person will be required to supervise coordinate the printing and distribution of the books (in coordination with the procurement department) along with the several service providers involved into the process and may be required to travel for the implementation provinces in Nampula and Zambezia
Security Duties
  • Provide security support to Maputo office and the provinces with the following duties: Safety and risk mitigation and ensure that project staff complies with project security procedures
  • Monitor and analyze the ongoing threat environment faced by the project and brief the leadership accordingly. Distribute threat warnings to all staff as appropriate. Ensure that appropriate risk migration measures are taken by the project to respond to the threats or changes in threats faced by the project. This is to include physical protection measures, safe working routines, movement restrictions, protection equipment and security staff provision, as required
  • Oversee movement control and coordination for the project, including driver and vehicle deployment and staff whereabouts
  • Oversee any security provider contracted by the project to ensure contractual compliance and performance of their duties, and act as the focal point of contact with the security provider
  • Report security incidents, violations and recommended corrective actions, as appropriate, to the COP, the appointing authority and the HQ Security Department
  • Ensure all new employee/contractor personnel receive appropriate security orientations and briefings
  • Other related tasks as required and directed by supervisor
Requisites
  • At least 5 years' general work experience with at least 3+ years' specific experience responding to procurement/logistics requests related to supplies, materials for project related activities
  • Bachelor’s degree in a related field
  • Knowledge of operations and logistics systems and procedures, such as fuel management, asset tagging and disposal and budgeting
  • Must be extremely reliable, trustworthy and a good team worker
  • Flexible in working hours
