  • Mozambique Integrated Malaria Program
  • The Integrated Malaria Program (IMaP) is a five-year, USAID-funded health initiative to assist the Government of Mozambique. IMaP will contribute to reducing malaria mortality, morbidity, and parasitemia in targeted provinces across Mozambique. This will be achieved by increasing utilization and uptake of quality malaria prevention and control interventions. The project’s activities will improve the quality of implementation and use of facility and community-based malaria services and by strengthening the data flow between these systems. We are looking for individuals who have a passion for making a difference in the lives of people around the world
Duties
  • Provide support to administrative, logistics, and personnel aspects of the project
  • Assist Operations and Finance Director and or his or her designee with identification, selection, recruitment, training and orientation of personnel required for the implementation of project activities, as needed
  • In coordination with the relevant technical teams, as well as the finance and operations team, coordinate logistics for project-related events, which will include trainings, workshops, etc.
  • In collaboration with the technical team, develop initial budget projections for activities, tailored approaches to logistics and event planning, and administrative coordination of project activities and present this information to the finance and operations team per a previously agreed upon schedule
  • Develop and maintain project office calendar of activities
  • Maintain a database of hotels, venues, caterers, etc. for future project activities
  • Draft and review procurement documents, including requests for quotation, requests for proposal, purchase orders, etc.
  • Maintain administrative systems, including but not limited to, an Inventory and Procurement Tracker
  • Support the project’s security platform, in collaboration with the home office, project leadership, and provincial office-based staff
  • Ensure the proper filing and archiving of all relevant administrative, contractual, personnel, technical and programmatic documents both via electronic files and hard copy files
  • Draft and distribute letters of invitation for project events using the appropriate branded letterhead, as required
  • Assist the technical team in developing presentations and other content for workshops and trainings. Ensure that these documents are appropriately branded
  • Record meeting minutes at all pertinent meetings and distribute to appropriate team members, as requested
  • Maintain basic office systems and implement accompanying procedures
  • Maintain and stock office supplies and work with the Finance Assistant to process supply orders
  • Provide any other administrative support such as filing, copying, completing errands as assigned by leadership to ensure efficient support to the project
  • Perform additional tasks as required by the Operations and Finance Director and project leadership
Requisites
  • Bachelor’s degree (or equivalent) in a relevant field
  • Minimum of four years of experience in project administration and logistics
  • Knowledge of USAID and its contractual and procurement requirements
  • Ability to work with cooperating partners in implementing complex programs
  • Ability to write and verbally communicate clearly and concisely
  • Excellent written and verbal Portuguese; proficiency in English preferred
  • Demonstrated leadership, versatility, and integrity
