Description
  • The U.S. Embassy Maputo is seeking one individual for the position of Program Administrative Intern
  • Open to: All qualified Mozambican students who meet the education requirements below
  • Work hours: Part-time; 20 hours/week
  • Salary: Unpaid Internship
  • Length of hire: February 10, 2020 – August 10, 2020 (6 months)
  • This position serves as an administrative assistant and performs programmatic and administrative support duties for M&O Branch. The incumbent also provides logistical and administrative support for coordination of conferences and meetings for the assigned Branch, coordinates PEPFAR technical assistance requests, and updates and maintains Branch administrative files
Duties
  • Typing, photocopying, filing, document binding, document lamination, preparation of documents for meetings, etc.
  • Provides assistance for administrative staff in procurement and contracting, including determining and collecting the appropriate supporting documents, presenting them to procurement staff, and following up on implementation
  • Schedule meetings for technical staff, assist with calendar management, and provide logistical assistance for meetings. Contact external stakeholders to make meeting arrangements and coordinate technical activities
  • Assist with transportation arrangements and travel claims for technical staff and invitational travelers
Requisites
  • Experience using MS Excel for travel and or other administrative data entry and monitoring
  • Must be customer service oriented, organized, be self-directed and willing to learn. Have the ability to follow regulations, able to multi-task and have attention to details
  • Language: English and Portuguese Level 3 (Good Working Knowledge) Speaking/Reading/Writing is required. (This will be tested)
  • Computer skills: MS Word, Excel and PowerPoint is required
  • Education: College (2 years) in, Public Administration, Human Resources, Logistics, Business Management or Public Relations is required
