Heading is recruiting a Senior Permitting Assistant (m/f), to be based in Maputo, Mozambique.
Duties
- Provides administrative support to the Permitting team and Coordination Committee meeting (held outside TEPM1, with the participation of TEPMA1 and government representatives)
- Support permitting team members in their day-to-day activities and engagement with other TEPMA1 functions and relevant government entities
- Assist permitting team members in gathering and organizing input documents required for permit request or renewal
- Support the Permitting/Planning Advisor in maintaining correspondence and records of all documentation related to permitting application and renewal on company network
- Support the Permitting/Planning Advisorin work with TEPMA1 Document Control to ensure good records of all Coordination Committee minutes of meetings
- Schedule and organize meetings, workshops, and other related events and communicate to internal and external stakeholders and participants as needed
- Participate in Government engagement meetings as deemed necessary by the Permitting Manager, Permitting Coordinators, or Legal Advisors
- Take notes/minutes during meetings, workshops, and other related events and share with internal and external participants as needed
Requisites
- Minimum of High School equivalent
- Minimum of three (3) years’ experience in Administrative/Assistance role
- Experience in Oil & Gas, petrochemical, extraction/mining industry, government or public relations would be a plus
- Previous experience in similar or associated role(s) on large scale Project(s)
- Direct work experience in multinational/multicultural companies, projects, or operations
- Good command of Microsoft Office programs or other relevant business information systems
- Able to work independently internally and externally to the organization, following directions from the
- Permitting Manager, Advisors, and Coordinators or Legal Advisors
- Able to work under pressure to tight deadlines
- Able to engage with third-party service providers for planning meetings, workshops, and other related events
- Able to engage effectively with peers within the Permitting Team, other TEPMA1 functions, and Government representatives
- Able to plan and balance multiple tasks simultaneously adapt to last-minute changes while still meeting deadlines
- Open to receiving and implementing constructive comments from others as the result of the review of his/her work
- Able to organize meetings, workshops, and other special events internally and externally to TEPMA1 and promptly keep participants informed of any changes
- Able to take notes/minutes during meetings, workshops, and other related events and disseminate as needed and/or store on company networks as applicable
- Fluent oral and written knowledge of English and Portuguese is required
