Aldelia is recruiting a SHE Administrator (m/f),to be based in Temane, Mozambique.
Duties
- Ensure effective document management, data control and immediate availability of documentation and data to stakeholders
- Meet work outputs quantity and timeline standards as per the Business Requirements
- Coordinate SHE Performance meeting administration including preparation, agendas, minutes and distribution of documentation
- Accurate & innovative reporting, record -keeping and storing of relevant information and data
- Performance Measuring and monitoring by issue notification of submission or reports, submission reminders and assist in collating report inputs
- Ensure accidents, incidents, non-conformance and corrective and preventive actions are reported on SharePoint and ensure the communication of incident findings
- Ensure records and Record Management are implemented according to standards
- Manage internal and external audit schedule: Collection and storage of reports, ensure closeout of actions are tracked through proper follow-up
- Provide inputs, make recommendations, plan, organize and maintain work practices that are reflective of integrated and optimal office management and administrative systems (e.g. document and filing management, etc.)
- Develop and provide input into systems and processes that enable effective and efficient administrative operations applications, administrative support functions, etc.);
- Interface with internal and external stakeholders to coordinate travel, catering and stationery
- Implement and Manage the SHE Document Management System
- Manage the SHE SharePoint Site through management of users and user requirements, manage the storage of SHE Risk Documentation, transfer documents to SharePoint, alignment and integration with other SharePoint sites
- Development of documents based on applicable SHE policies, standards and procedures to support management system and in line with Group SHE
- Monitor and ensure that documents created are reviewed before expiring dates
Assist the training department with organizing of SHE Training
- Ensure that sensitive information is handled in a confidential manner
- Demonstrate understanding of relevant company's governing structures and guidelines
- Manage training matrix for the SHE department
- Complete all tasks in a manner that demonstrates an understanding of financial planning and control principles
- Contribute to team targets in visible and measurable manner
- Proactively assist all members of the Operating Business/Strategic Business/Function team as and when required
- Support behavior-based safety programmes and interventions to address critical SHE behaviors at an operational level
- Support management to create a culture which embraces zero harm and sustainability, through embracing the company's and area-specific lifesaving behaviors
- Capacity to build and sustain positive internal and external stakeholder relationships (leaders; team members; external service providers; Corporate SHE; etc)
Requisites
- Proficient in Portuguese and English
- Bachelor’s degree in a relevant administration field or SHE (preferably Administration, Informatic, Mathematics or Economics) – Confirmed basic level and +5 years of experience in SHE Administration can be considered
- Certificates of SAMTRAC/NOSA/ or similar
- NEBOSH International HSE certificate in Occupational Safety Management is an advantage
- Knowledge or exposure to ISO 45001 and ISO 9001 is an advantage
- Valid driver’s license
- Minimum of 3 years’ experience in SHE Administration in industrial operations
- Knowledge in the following areas: occupational safety management systems, occupational safety auditing
- Working knowledge and or proficiency in the application of the relevant legislation and industry recommended best practices related to occupational safety management (e.g. OHS Act, OSHA)
- Conversant with usual business suites (Word, Excel, PowerPoint, Etc)
- Good communication and interpersonal skills
- Display strong assertiveness and listening skills
