PSI seeks dynamic candidates with an interest in private sector approaches to development for the position of Administration Senior Manager based in Maputo, Mozambique.
Duties
- The Administration Senior Manager is responsible for management of all administrative efforts within PSI/Mozambique, including day to day administrative activities and follow up on internal services requests; management and supervision of the Internal Services Team (Administration Coordinator, Administration Officer/Reception, and IT staff) to ensure it meets the goals of the organization. This includes, but is not limited to:
- Manage administrative tasks, respond to internal services requests, and see such tasks and service requests through to their completion on a day-to-day basis
- Supervise and manage the team members ensuring that internal service delivery is prompt, effective, and of high quality
- Oversee and enforce Asset and Property Management, Travel Planning and Control, as well as Reception functions, including training in phone etiquette and related procedures
- Oversee IT functions and hardware maintenance by putting in place an equipment acquisition and replacement plan as well as systematic monitoring of IT hardware and software related contracts
- Produce monthly summary reports on sub-department financial/administrative performance, such as communication and office expenditure reports; obtain regular feedback from customers on performance; and take steps to implement systems improvements as needed
- Define and review strategies to track cost efficiencies by putting in regular inventories of all assets and office related consumables
- Responsible for the overall insurance management, property management, and security management of PSI/Mozambique as per policy
- Review the Administration Policies and procedures to ensure their relevance and alignment to the overall strategic plan of the organization
Requisites
- Over 5 years’ experience in administration, 2 of which should include personnel management
- Intermediary to higher level of computer skills (ability to use MS Office, and potential to learn to use other software and reporting software)
- Familiar with asset and property management
- Supervisory skills and experience
- Understands and appropriately applies procedures, requirements, regulations, and policies related to job requirements
- Analytical and negotiation skills (critically evaluate options)
- Higher education required
