The United Nations World Food Programme (WFP) in Mozambique wishes to recruit qualified and experienced Mozambican nationals for the role of Administrative & Finance Assistant, to be based in Pemba.
Duties
Under the direct supervision of the Head of the Sub-Office, and overall supervision of the Deputy Country Director, the incumbent will perform the following duties:
- Transparency on management of the sub-imprest account by maintaining the essential records
- Prepare bank reconciliations and conduct analysis of general ledger accounts
- Procurement performed per WFP regulations and vendor claims verified for accuracy and conformance with WFP finance rules and regulations
- Ensure timely clearance of vendor outstanding payments by following up with the Country Office when required
- Prepare and submit regularly to Country Office the financial reports and reimbursement claims as needed
- Provide assistance to all staff services (accommodation, travel, expenses claims, emigration arrangements etc)
- Keep updated the SO assets Inventories
- Effective management of fleet by ensuring monthly drivers schedules are prepared, drivers are evaluated on time, the down time of vehicles is reduced, request of spare parts at CO, liaison with Toyota and fuel control
- Effective management of compound by ensuring the maintenance of premises(Offices and Guest House) and security
- Keep attendance and leave balances records for the SO staff
- Keep the staff updated of the HR related issues
- Draft routine correspondence related to the unit’s work and type a variety of material (correspondences, reports etc.)
- Perform other related duties as required
Requisites
Education
- A 3-year post secondary school diploma in administration, management, accounting finance
- Undergraduate degree in Accounting, Finance, Business or Public Administration, Management or related fields would be an asset
Experience
- At least 2-years of professional experience in Accounts, Administration, Management, audit or closely related fields
- Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and knowledge of database packages are required
- Working experience in web based ERP financial systems (i.e. SAP, PeopleSoft, Oracle, etc) would be an added value
- Knowledge of IPSAS is desirable
Essential Skills
- Organizational skills and ability to work with Minimum supervision and have sound judgment
- Excellent communications skills, including good drafting ability in both English and Portuguese
- Ability to maintain effective work relationships with clients and staff within and service providers
Language
- Fluency in English and Portuguese is required
- A working knowledge of Macua or Maconde is required
