Duties
- Under the supervision of the Common Services Officer (Property), the Common Services Coordinator (Property) provides coordination and administrative services mainly in support of property maintenance, contracting/procurement and material management
- The main responsibilities include developing a program for the maintenance, repair, upkeep and security of all crown-owned and leased properties
- Developing and maintaining working relations with appropriate suppliers and contractors
- Developing and implementing/executing property projects
- Liaising with owners of leased properties on maintenance and repair work
- Determining service requirements to meet the needs of the mission's properties
- Gathering data for the development of the property budget, and performs other duties
Requisites
- Education:
- Candidates will be required to provide proof of the completion of their education
- Bachelor’s degree from a recognized university OR diploma from a technical college OR A minimum of three (3) year’s relevant experience (within the past five (5) years) providing general business/office operations support and client service in combination with any business, operations, or logistics training/education
- Language:
- Advanced level of English (oral and written)
- Advanced level of Portuguese (oral and written)
- Experience:
- Minimum of two (2) year’s relevant experience (within the past five (5) years) providing general operations support and client service (liaising with internal and external clients) in an office environment
- Experience prioritizing a varying workload of client demands and taking actions such as triaging requests, assigning tasks, scheduling meetings/service visits, and tracking task completion
- Experience in procurement, project management, or consumables stock management
- Knowledge:
- Knowledge of budget tracking and/or reporting
- Knowledge of Office Suite (Outlook, Excel, Word)
- Knowledge of petty cash management

- Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications
- Degree in engineering
- Experience working with a diplomatic mission or international organization
- Experience carrying out research, including collection, verification, analysis, and management of information for a range of subjects
- Knowledge of SAP
- Intermediate level of French
