Grindrod is recruiting a Contract Manager- Operation, to be based in Beira.
Duties
- Effective Management of operational process and contract/service level agreements
- Effective Customer Relationship Management
- Effective management of financial and administration requirements per contract
- Effective management of safety, health, environment and quality to ensure compliance
- Effective management of Human Resources
Input/Behaviours
- Develop and maintain procedures which relate to day to day operational requirements. Ensure compliance to existing procedures
- Measure the vehicle and equipment uitilisation against parameters of contract. Remedy sub-standard performance or improve existing levels to maximise vehicle uitilisation timeously
- Ensure proper routing of deliveries and scheduling of vehicles to achieve delivery targets as per customer requirements
- Vehicle downtime is monitored, controlled and kept to a minimum
- Monitor fleet constantly to ensure
- Vehicle, driver and cargo security
- Optimal usage of fuel
- No unnecessary route deviation
- Monitor licence renewals, staff legislative and contractual training to ensure compliance
- Manage and control vehicle maintenance by monitoring the scheduling of the maintenance program for contract vehicles to ensure proper maintenance of vehicles
- Monitor vehicle maintenance costs and ensure that costs are contained
- Ensure adherence to law and Company Policy with regards to hours of work, Break periods, Payment allowances, other conditions of work
- Monitor and analyse allowances and minimise costs
- Measure tyre CPK \'s monthly by considering km \'s travelled, write-offs and current replacement costs
- Attend to and manage tyre tracking and scraping requirements and tyre costs.
- Effective Management of service level agreements
- Audit the quality of service provided through personal interaction with the customer on an ongoing basis and timeous corrective action is taken when required
Undertake effective client Relationship Management
- Comply with the appropriate generally accepted accounting principles, regulatory requirements and audit requirements
- Compile budgets and ensure effective budgetary control
- Monitor and manage costs
- Undertake accurate and timeous forecasting
- Analyse allowances and payments to minimize costs
- Calculate the amounts to be invoiced timeously according to the customer contractual agreements
Compare actual cost and revenue figures to budget
- Ensure action is taken to remedy poor performance or to improve performance
- Screen all Suppliers by comparing cost effectiveness, quality of products and service
- Report weekly on projected contract revenue, kilometers and profits
- Monitor and reconcile
- Daily km \'s travelled
- Monitor fuel consumption on a daily, weekly and monthly basis
- Recitfy problematic vehicles or driver \'s
- Report on the performance of the contracts on a monthly basis
- Authorize and forward invoices received to accounts
- Provide for adequate accruals for invoices that will be received late
- Advise Management of any problems relating to outstanding Debtor amounts
- Ensure all Maintenance costs adhere to applicable maintenance agreements
- Manage housekeeping, safety and quality by ensuring that all audits are conducted regularly
- Manage accidents and insurance
- Ensure SMART system is maintained
- Evaluate accident/incident stats to establish trends, discipline and training needs recorded accurately and correctly, plans are put in place to remedy poor trends
- Report incident/accident trends on a monthly basis
- Undertake route cause analysis of incidents and accidents and report according to the set requirements
- Effective performance Management
- Measure Performance for each position
- Conduct regular performance reviews
- Coach and provide feedback on possible areas that can be developed or rectified.
- Ensure effective record keeping
- Ensure that adherence to disciplinary procedures by all staff
- Undertake disciplinary processes fairly
- Ensure that Grievance procedures are effectively implemented should employees have any Grievances
- Ensure all training updated on the matrix
- Monitor employees remuneration and benefits and compare the monthly staff costs with budgeted allocations
- Ensure that all remuneration is controlled and processed within the respective Payroll deadlines
- Ensure that the training plan is adhered to
