Chemonics is recruiting an Operations Associate (m/f), to be based in Maputo, Mozambique.
Description
- Project: Global Health Supply Chain – Procurement and Supply Management (GHSC-PSM) Mozambique
- Background: The overall goal of GHSC-PSM is to procure and provide health commodities for all USAID health programs, including but not limited to, HIV/AIDS, Malaria, Family Planning, and Maternal & Child Health, as well as provide systems strengthening technical assistance to improve supply chain management and commodity security in Mozambique
- The Operations Associate will assist with day-to-day project operations including support of office administrative needs and maintenance, procurement, and event planning
- Supervision: The Operations Associate will report directly to the Operations Manager
- Working Conditions/Duration of Assignment: This is a long-term position for the life of the contract based in Maputo, Mozambique
Duties
- Seek, compete, and book venues for external trainings
- Assist in booking flights and hotel accommodation for GHSC-PSM and CMAM travelers, and assist with visa letters and applications for international travelers as necessary.
- Proactively maintains administrative systems, including but not limited to electronic and hardcopy filing systems, procurement trackers, and inventory trackers
- Assist in office procurements including but not limited to office supplies, furniture and other office needs.
- Coordinates procurement needs, including identification of suitable vendors, collection of price quotes, and assists in documenting office supply inventories. Maintains relationships with vendors
- Prepares project correspondence as necessary and facilitates communication between the project office and Chemonics home office, and partners. Examples include: Arranging courier service, or updating project contact sheet/phone tree
- In coordination with the IT Manager, oversees day-to-day maintenance and monitoring of the office computers, and procure replacement parts as needed
- Assist in payment of office utility bills
- Maintain a good knowledge and understanding of all office rules and procedures as set forth in the field office policy manual
- Supervise project drivers activities and coordinate schedules as required with technical staff
- Assist Operations manager in overseeing cleaning and other contractors
- Assist in maintaining project inventory
- Assists in collecting and tracking timesheets for all field office staff as assigned
- Assist with the recruitment, training and orientation of personnel required for the implementation of project activities, as needed
- Assist with all administrative processes related to the employment of local support and professional staff and short-term consultants, as requested
- Assist with liaising with HR-related and benefits vendors, as needed.
- Support achievement of the overall project goals as required to ensure project performance
- Perform other tasks as directed by the Operations Manager and Operations Director
Requisites
- Bachelor’s degree in a relevant field, such as Finance, Human Resources and Business Administration
- At least 3 years of relevant work experience
- Experience working on a USAID or donor-funded project required
- Fluency in Portuguese and advanced English is required
