PSI is recruiting a Project Assistant, to be based in Maputo, Mozambique.
Duties
- The Project Assistant will report to the Project Director and provide administrative and interpreting support to ensure the overall effective and efficient operational management of the day-to-day activities of the Adolescent Sexual and Reproductive Health (AS&RH) project. The specific responsibilities include but not limited to the following:
- Provide necessary assistance in the operational management of the project according to the procedures related to the DFID award
- Draft correspondence pertaining to the AS&RH project
- Provide administrative support for project events, including workshops, meetings (monthly, quarterly and annual) and training events
- Provide logistical assistance for the AS&RH project, including visas, transportation and accommodation bookings for project staff, project consultants and visitors
- Assist in preparation of project work plans and reports
- Manage the project filing, document and correspondence control systems, including setting up, assisting Project Staff on and managing filing procedures
- Prepare and maintain a database of project events for the information of Project Staff, donor and the Project Steering Committee and other organizational units in the project
- Monitor project telephone, fax, and email correspondence
- Assist with Project communication activities, including publications
- Maintain a proper inventory of project assets register, including numbering, recording, and reporting
- Assist in calculating and prepare staff time records
- Provide interpretation services to project activities, including meetings, small-scale workshops, and relevant events
- Act as an interpreter for AS&RH, Project Staff and international consultants as required
- Carry out other relevant tasks as assigned by the AS&RH project manager
Requisites
- Bachelor degree in relevant field (Business Administration, Project Management, etc.)
- Minimum of 3 years of experience in staff, office and asset management
- Good secretarial skills and good organizational capacity
- Demonstrated experience in project and administrative support activities
- Knowledge in administrative procedures of the government and foreign organization
- Good computer skills in common word processing (MS Word), spreadsheet (MS Excel)
- Familiar with MIS systems and processes (especially DHIS2)
- Excellent English and Portuguese language skills, spoken, written, translation & interpretation
