- The selected candidate will join a diverse, and supportive team of over 60 staff employed by the British High Commission (BHC) in Maputo. The role sits within the Human Development, Climate and Humanitarian (HDCH) team but may support work across the mission
- The principal purpose of this post is to provide administrative and project support to the HDCH programme team, and to the team’s projects. You may be asked to provide support to other teams as BHC Maputo’s programme portfolio evolves. The role requires a basic level of administrative skills, financial management understanding, a self-starting attitude, and ability to work independently under minimum supervision and guidance
- The post holder will work closely with programme management colleagues, including the HDCH Team Leader. They will also lead on wider corporate contributions to ensure that BHC Maputo is a great place to work and will role model values and behaviours
Duties
Programme support
- Assisting with the effective management of the Team’s programme portfolio in accordance with FCDO’s rules and procedures
- Supporting in procurement of services or grant arrangements; and participating in Monitoring, Evaluation and Learning (MEL) activities
- Processing payments, budget management incl. data entry, monitoring expenditure and assisting in accurate financial forecasting exercises while supporting the respective programme managers/officers
- Ensuring transparency requirements are met
- Ensuring smooth communication with project partners by forwarding information and following up on specific issues as required by Programme Managers
- Supporting routine internal and external programme communications
Administrative and logistical support
- Supporting on logistics for official visits, field visits, project-related events, diplomacy activities and programme/team meetings
- Keeping up to date lists of contacts for the team, able to maintain various lists e.g. Kings Birthday Party (KBP), key contacts etc.
- Assisting the Team Leaders in responding to corporate tasks
- Record keeping on Microsoft Teams - internal information and knowledge management, uploading materials, maintaining spread sheets, calendars, etc.
- Providing good first drafts of the minutes of meetings and documents when required
- Providing surge support and respond to other priority needs for the team
Requisites
- Ability to organise and prioritise own work and deal with a number of matters simultaneously avoiding backlogs of work
- Ability to take responsibility for quality of work, and able to correct and learn from errors
- Financial and budget management skills and experience
- Strong administrative and organisation skills including working knowledge of Microsoft Excel, Word and Power Point, MS Teams
- Good spoken and written English and Portuguese
- Formal qualification or professional accreditation in project management as well as experience in managing projects would be an advantage
